Summary:
The Enrichment Support Clerk is responsible for providing clerical and administrative support to the Community Enrichment Services department by performing daily office tasks such as filing, data entry, maintaining records, copying and using a computer with Microsoft Office Suite and Court case management systems; greets youth, families, stakeholders, and the general public; answers phones to direct individuals to the correct department; follows organizational and departmental procedures to complete tasks in a timely manner.
ESSENTIAL FUNCTIONS AND
Responsibilities:
1.
Responsible for providing administrative and clerical support to the Community Enrichment Services Department (e.
g.
answers phones, copies, files, data entry, spreadsheets, scanning, etc.
).
2.
Provides excellent customer service to the youth, families, stakeholders, and general public that the DRJ Court serves.
3.
Reviews docket on daily basis to identify JCES cases.
4.
Assigns JCES cases to appropriate teams within the Department.
5.
Performs data entry into the court case management systems (including youth demographics, charge information, and status updates).
6.
Assists in the processing, distributing, and filing of various paperwork that includes, but is not limited to, mental health referral orders, transportation requests, journal entries, warrants to convey, JSO registrations, etc.
7.
Ensures that reports are accurate, completed timely, and distributed to appropriate Court personnel; distributes reports from outside agencies to proper units.
8.
Inventories electronic monitoring equipment.
9.
Provides coverage for support staff absent from their primary work areas.
10.
Responsible for scheduling meeting rooms, composing correspondence, transcribing and distributing meeting minutes.
11.
Schedules video conferences and sets up equipment for the actual conference when the supervisor is not available.
12.
Maintains and orders all departmental supplies, equipment supplies and business cards and ensures that office equipment is functioning properly.
13.
Performs other duties as assigned.
MINIMUM REQUIREMENTS:
High School Degree or GED; minimum of two years' experience in customer service, clerical work, computer operations and data entry.
Experience providing customer service while dealing with stressful situations.
Experience working with Word and Excel.
Experience working for a court or in the juvenile justice system and knowledge of court procedures and policies preferred.
