Directly supervises eight or more employees (Manager of Medical Records, Special Testing Coordinator, Patient Referral Coordinator, and several Registration Coordinators).
Deploys resources and sets the direction to address daily activities, assigns work tasks, and administers performance management and annual reviews for those supervised.
Develops strategic systems to ensure exemplary care through supervision of patient services staff triaging patients via phone and in-person encounters based on visual and ocular complaints, making independent scheduling decisions, verifying and documenting insurance coverage, explaining the examination experience, expectations and service fees to patients, confirming appointments, receiving patients and collecting/verifying data, document acquisition and maintenance, coordinating and communicating patient arrivals with attending optometrists and assigning patients to interns.
Oversees Interpreter Services support including communication, scheduling, and invoice review.
Strategically manages and delegates online appointment requests to ensure scheduling inquiries are appropriately triaged and addressed efficiently.
Creates reports, analyzes data, and strategizes operational improvements to ensure patient schedules in all departments are filled to deliver efficient patient care and maximize intern experience.
Understands HIPAA and data entry of confidential patient information.
Trains and supervises staff to process patient satisfaction reviews, address patient feedback, and answer patient prescription related and medical records related questions.
Provides oversight to Medical Records Department daily operations in accordance with state/federal regulations and college/university procedures governing medical records handling.
Reports to the Associate Dean of Clinical Services to regularly review patient census reports and staff performance for objective attainment, trend analysis and operational adjustments.
Strategizes and implements systems to maximize patient fill rate, operational effectiveness, and patient satisfaction.
Acts as liaison between Associate Dean for Clinical Services and clinic staff.
Works closely with HR Manager to ensure organizational effectiveness; Works closely with clinic business office and billing office personnel to optimize clinic operations and to ensure compliance with business requirements of the college.
Works with Health Systems Analyst and IT staff to optimize Compulink effectiveness and troubleshoot IT issues impacting clinic operations.
Serves as Optometry liaison with other university departments as needed.
May be assigned special projects and other duties by Associate Dean for Clinical Services.
Minimum Education Required Bachelor's degree or equivalent experience Required Qualifications 5 years of relevant experience required Desired Qualifications 3-5 years of optometry experience in a large optometric office, practice, or clinic 1-2 years of training and/or teaching experience Ability to lead a team and create a positive work environment.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
